Up to 8,500 athletes and officials from around 150 nations will compete in six cities for 12 days - in 18 different sports. Data Specialist Excel (m/f/d)
 
In the implementing company of the Rhine-Ruhr 2025 FISU World University Games
Full-time / 40 hours per week / temporary contract until late summer 2025.
 
The position is located in the Accommodation department. As a Data Expert, you are primarily responsible for the organisation and management of overnight stays in an Excel-based data process.

Following tasks are your main focus:

  • Collaboration on the central Excel database for managing accommodation capacities, room allocations and delegation data
  • Daily maintenance and updating of booking data
  • Comparing requirements with available capacities (monitoring occupancy levels)
  • Communicating with internal departments (e.g. delegations, venue management, transport) to reconcile data
  • Creating reports and statistics for the accommodation team and project management
  • Organisation and support of the delegation in the accommodation area 
  • All tasks that arise during Games Time in the hotel to ensure the operational process
  • Quality control of the data entered, ensuring data consistency
  • Support in the preparation of check-in at the accommodation facilities
  • Support with the creation of name lists in the hotels 
  • Support in the creation of hotel lists for the Head of Delegations 
  • Recording of booking changes, as well as their management and compliance with the communication lines
  • Recording changes in the Excel database for the management of accommodation capacities 
  • Ongoing updating of the room lists based on the latest information provided by the participating customer groups (new bookings, updating of existing bookings, cancellations, etc.)

Ideally you have the following skills and knowledge:

  • Experience in data management, ideally in the event or hospitality sector
  • Very good knowledge of Excel, including the use of formulas, pivot tables and data validation
  • Structured and precise way of working
  • Strong teamwork and communication skills
  • Very good written and spoken German and English skills
  • Willingness to work in a dynamic, international environment - even under time pressure
