Junior Manager Delegation Services (m/f/d)
 
In the implementing company of the Rhine-Ruhr 2025 FISU World University Games
Full-time / 40 hours per week / temporary contract until late summer 2025.
 
The position is part of Delegation Services. The Delegation Services functional area (FA) is the primary liaison for all delegations that will attend the Games. The Delegation Services Junior Manager is responsible for communication and liaison with delegations attending the Games as well as ensuring delegation needs are met within the Organising Committee. The role will also work closely with the Delegation Services Manager to support in all operations for the Spring Heads of Delegation Meeting and manage the preparation and delivery of Delegation Services in Berlin.
 
The role reports directly to the Delegation Services Manager and is full time based in the OC office in Dusseldorf prior to the Games. For the Games time delivery period, the position will be based in Berlin. 

Specifically, your area of responsibility will focus on the following tasks :

  • In conjunction with other members of the Delegation Services team and according to the delegation communications plan, provide timely and efficient communication and information to delegations attending the Games
  • Coordinate delegation requirements for the Spring Heads of Delegation Meeting
  • Manage delegation questions and requests related Rate Card items and delivery
  • Respond to delegation questions and requestsn related to Delegation Offices and Delegation Medical Spaces
  • Assist in the development of policies and processes relating to delegation Extra Officials
  • Keep the OC informed of relevant delegation issues as they relate to the planning and preparation of the Games
  • Develop and prepare specific information relating to Berlin operations (for delegation services). This includes process and management of delegation information desks as well as specific information guides and publications for delegations (relating to Berlin operations)
  • Work with Accommodation and Transport teams to create an issue escalation plan
  • Liaise with other Games functional areas to ensure accurate and timely information is provided to delegations whilst balancing expectations and demands
  • Support in volunteer training and onboarding
  • Maintain the delegation questions database
  • Work in collaboration with other functional areas to deliver on tasks as they relate to delegations attending the Games
  • Other tasks as deemed relevant to the level of the position

Ideally you have the following skills and knowledge:

  • An academic degree in the area of sport/event management or international relations
  • Experience in working with international delegations attending a sporting event is an asset
  • Have an understanding of how functional areas interact in a multi-sport event environment to achieve common goals
  • Have an understanding of FISU and international university sport is desirable
  • Be culturally and globally aware
  • Be motivated to ensure the delegation event experience is amazing
  • Have a high level of flexibility and be a self-starter
  • Be a person who strives to find a solution to challenges
  • Excellent communication and mediation skills
  • Be fluent in English. Additional language skills are an asset but are not required for the role
