Up to 8,500 athletes and officials from around 150 nations will compete in six cities for 12 days - in 18 different sports. Manager FISU Relations & Protocol (m/f/d)
 
In the implementing company of the Rhine-Ruhr 2025 FISU World University Games
Full-time / 40 hours per week / temporary contract until late summer 2025.
 
The FISU Relations functional area (FA) liaises with FISU and coordinates aspects relating to the FISU Family and guests that will attend the Games.  
 
The Protocol functional area (FA) is responsible for protocol issues relating to key aspects of the Games such as ceremonies, VIP hospitality as well as venue protocol (flags and seating).
 
The position is based in Berlin. 

Following tasks are your main focus:

  • Provide administration assistance for FISU meetings held in Berlin during the Games delivery period
  • Logistic support to the FISU Family during the Games delivery period
  • Work collaboratively with the Manager who is the key liaison for the Berlin FISU Family Hotel to deliver on all aspects required of the Berlin FISU Family Hotel during the Games
  • With the assistance of the relevant Attaché staff, manage attaché requirements for the FISU Family in Berlin
  • Manage the arrivals and departures of FISU Family members who will be located in Berlin in conjunction with the Berlin Arrivals & Departures Manager, ensuring appropriate meet and greet services are implemented
  • Manage the information desk and Accreditation distribution at the Berlin FISU Family Hotel
  • Work together with the FA areas of stakeholder management and ceremonies in relation to VIP requirements and the FISU Family for Berlin activities
  • Assist in coordinating VIP hospitality areas at Berlin venues including bump in/out and day to day management of these areas
  • Support venue teams with flag management and installation
  • Assist in onboarding and training of staff and volunteers working in the Protocol & FISU Relation areas
  • Work in collaboration with other functional areas to deliver on tasks as they relate to protocol events and activities
  • Prepare information about VIPs presenting medals and provide these details to the Medal Ceremonies FA well in advance of the presentation of medals
  • Manage last minute changes and amendments to medal presenters ensuring the medal ceremonies staff are made aware of these changes
  • Other tasks as deemed relevant to the level of the position

Ideally you have the following skills and knowledge:

  • An academic degree in a relevant field
  • Experience in working within the area of protocol and VIP stakeholder management in an event environment
  • An understanding of FISU, its events, programs and practices would be an asset
  • Have an understanding of how functional areas interact in a multi sport event environment to achieve common goals
  • Be culturally and globally aware
  • Be motivated to ensure that the language services provided to client groups is of an exceptional high standard
  • Have a high level of flexibility and be a self starter
  • Be a person who strives to find a solution to challenges
  • Excellent communication and mediation skills
  • Fluent in English. Ability to speak German is not necessary but would be an asset
