Manager Accreditation Operations (m/f/d)
 
In the implementing company of the Rhine-Ruhr 2025 FISU World University Games
Full-time / 40 hours per week / temporary contract until late summer 2025.
 
The position is part of the Technology Team. As a Manager Accreditation Operations, you will be responsible for the support of the Senior Manager Accreditation and work on planning and delivering of operational plans for the 2025 Rhine-Ruhr University Games. To be successful in this role, you will need to build close working relationships mainly internally with other Functional Areas, especially Venue Management team and some external stakeholders. One of key parts of this position will be education, both internal and external partners on the zoning strategy and access control, designing and delivering manuals and preparing and delivering workshops.

Specifically, your area of responsibility will focus on the following tasks:

  • Identify and secure contractor for the Accreditation process (suppliers, technical
    equipment, etc.)
  • Further develop the Accreditation card concept and develop Additional Access devices implementation concept
  • Develop and implement the accreditation cards distribution process across multiple sites
  • Test and deliver the production of the card
  • Plan the operations of a Uniform Distribution & Accreditation Centre (UDAC) for
    accreditation
  • Plan the operations of auxiliary accreditation centres across other host cities.
  • Attend venue organisational meetings
  • Support Senior Manager Accreditation and work on smooth running of Accreditation operations
  • Implement the agreed venue operational planning process, support venue
    planning cycles and related meetings for a cluster of venues.
  • Prepare resources used for online volunteers training as well as organise and
    conduct RST (Role Specific Training)
  • Manage volunteer schedules and shift planning
  • Prepare the policies and procedures for Accreditation and cooperate with other Functional Areas on the overlapping policies
  • Manage the day-to-day operations in UDAC and manage technical facilites in all centres
  •  Work together with the Venue Management team on planning of Berlin satellite operations
  • Report regularly in accordance with FISU/OC requirements
  • Prepare and submit required FFE and technical equipment orders
  • Coordinate the setup and dismantling of all Accreditation Centres with the
    support of Accreditation Assistant

Ideally you have the following skills and knowledge:

  • Degree in Sports Management, Event Management, IT, Data Management or similar
  • Strong skills in database management
  • Friendly and approachable with the ability to prioritize workload
  • Strong attention to detail
  • Great communication skills
  • Proficient in Microsoft Office, especially Microsoft Excel
  • English (fluent), German (fluent), another foreign language desired
  • Ability to operate in a dynamic working environment, handling multiple tasks and deadlines
