Full-time / 40 hours per week / temporary contract until late summer 2025
The Manager Travel Services will work with staff from the areas of Delegation Services, FISU Relations, Sport and Accreditation however will report directly to Team Lead International Relations.
Specifically, your area of responsibility will focus on the following tasks:
- Prepare a plan to distribute visa letters in accordance with German Ministry of Immigration regulations for relevant persons attending the Games
- Manage (and action) the process of issuing visa letters to relevant client groups
- Prepare event information that will educate German consulate and embassy staff about the 2025 Rhine Ruhr FISU World University Games
- In conjunction with the Accreditation staff team, provide a list of persons who require a visa to the German Ministry of Immigration
- Develop a visa support service that will ensure efficient and timely responses for persons requesting specific documentation and visa information. This service is specifically implemented in the three month period prior to the Games
- Develop travel related policies and guidelines and ensure these are communicated to client groups attending the Games
- Manage the communication flow (and responses) for visa and travel enquiries ensuring that all enquiries are responded to in a timely manner
- Work in collaboration with other functional areas to deliver on tasks as they relate to delegations attending the Games
- Other tasks as deemed relevant to the level of the position
Ideally you have the following skills and knowledge:
- An academic degree in a relevant area
- Have experience in working at a large event within the area of travel or visa support services
- Be familiar with (or be able to quickly grasp knowledge of) the visa requirements of foreign nationals wishing to enter Germany
- Have an understanding of how functional areas interact in a multi sport event environment to achieve common goals
- Be culturally and globally aware
- Have patience and empathy
- Have a high level of flexibility and be a self starter
- Be a person who strives to find a solution to challenges
- Excellent communication and mediation skills
- Be fluent in English. Additional language skills would be an asset but are not required for the role
