Interns Venue Protocol (m/f/d)
 
In the implementing company of the Rhine-Ruhr 2025 FISU World University Games
Full-time / 40 hours per week / Compulsory or voluntary internship for 3-6 months
 
The Protocol functional area (FA) is responsible for protocol issues relating to key aspects of the Games. These areas include venue protocol services such as VIP hospitality, flag protocol requirements at venues and ceremony protocol.
 
There will be four Venue Protocol intern roles to cover the following city locations:
  • Berlin, Bochum, Duisburg, Essen, Hagen, and Mühlheim a.d. Ruhr
 
The role reports directly to the Manager Protocol and will be based in the allocated city location.

Specifically, your area of responsibility will focus on the following tasks:

  • Work with venue managers to coordinate finalisation of the layout, fit out and branding of VIP Hospitality areas
  • Liaise with FISU Relations and Stakeholder Management FAs in relation to OC VIPs and FISU Family members and relevant hospitality requirements
  • Manage the VIP hospitality lounge areas ensuring that the areas are kept to a high presentation standard
  • Prepare information about VIPs presenting medals and provide these details to the Medal Ceremonies FA well in advance of the presentation of medals
  • Manage last minute changes and amendments to medal presenters ensuring the medal ceremonies staff are made aware of these changes 
  • In conjunction with the venue medal ceremonies team, coordinate timing and schedules of VIP movement between VIP hospitality areas and medal ceremonies
  • Manage static flag placement and support venue teams in installation of flags at venues 
  • Support ceremonies teams with flag requirements for medal ceremonies 
  • Ensure that guidelines and procedures relating to VIP Hospitality services are implemented
  • Ensure that Protocol volunteers are provided with sufficient training and onboarding to respond to general Games information enquiries 
  • Train volunteers working in Protocol areas at venues
  • Work in collaboration with other functional areas to deliver on tasks as they relate to protocol events and activities within their appointed city
  • Other tasks as deemed relevant to the level of the position

Ideally you have the following skills and knowledge:

  • Enrolment at a college/university/vocational school, ideally in the fields of sports management, sports economics, event management or similar
  • Compulsory internship according to study regulations for a duration of 3-6 months or voluntary internship
  • Interest, fascination and enjoyment of sport and major sporting events
  • Strong communication skills
  • Open, friendly demeanour, team player
  • Structured way of working
  • Good knowledge of Office 365
  • Very good written and spoken English skills
