Venue Logistics Coordinator (m/f/d)
 
In freelance work (fee-for-service contract) for the implementing company of the Rhine-Ruhr 2025 FISU World University Games
temporary contract from 01.07. to 31.07.2025
 
The position is located within OC's Logistics division. The Functional Area (FA) Team Logistics is responsible for the logistical planning and implementation at all competition & non-competition sites, including but not limited to shipping, receiving and inventory management of all furniture, fixtures and equipment required before, during and after the Games.  
 
We are recruiting for the following locations:
  • Berlin
  • Essen
  • Duisburg
  • Hagen
  • Bochum
  • Mülheim
 
The exact assignment period varies depending on the location.

Specifically, your area of responsibility will focus on the following tasks:

  • You are responsible for the smooth running and implementation of the planned logistics infrastructure in the Venue Logistics area. These plans include detailed information on set-up, replenishment, storage and recovery procedures at the venues
  •  Coordination of logistics resources at the venue (logistics personnel, material handling equipment and coordination with the individual departments)
  • Managing external logistics service providers and leading the logistics team at assigned venue(s) and storage location(s) in preparation for, during and after the Games 
  • Collaboration with all functional areas of the OC (e.g. Sports, Technology, Venue Management, Logistics, Security, Catering, etc.)
  • Taking over daily briefings & writing reports
  • Supporting the creation of procedures and processes for the tracking and control of assets in the logistics centers of the individual venues and the central warehouse

Ideally you have the following skills and knowledge:

  • Experience in the organizational planning and implementation of events of a similar scale, ideally in the multisport events, logistics sector
  • Ability to read and understand CAD drawings
  • Ability to work in a team, sense of responsibility and strong communication skills
  • Time flexibility, also able to work evenings and weekends
  • Very good written and spoken English skills 
  • Willingness to participate in meetings & workshops prior to the event 
  • Ability to work effectively in groups of people from other departments and at different levels of the matrix organization with a diverse workforce, including volunteers and temporary/contract workers
  • Ability to quickly process information from spreadsheets and other tools
  • High level of organizational skills and experience in handling multiple tasks simultaneously
  • Driving license class B, valid in Germany
  • Forklift license an advantage

The work is remunerated with a project fee that depends on the duration of the assignment and the experience and expertise you bring with you. Meals on site are covered by RR25; travel and accommodation costs are not reimbursed separately.
