Event Logistics: Warehouse Manager (m/f/d)
 
In the implementing company of the Rhine-Ruhr 2025 FISU World University Games
Full-time / 40 hours per week / temporary contract until late summer 2025.
 
The position is located within the OC's Operations division. Division Operations provides the necessary infrastructure for the realisation of the FISU Games. This includes accommodation, catering, logistics, transport, including travel to and from the event, as well as the recruitment and administration of volunteers. Functional Area (FA) Logistics is responsible for the logistical planning and implementation at all competition & non-competition venues, including but not limited to shipping and receiving, inventory management and all furniture, fixtures and equipment required before, during and after the Games.  

Specifically, your area of responsibility will focus on the following tasks:

Before and after operational Phase: 
  • In cooperation with the Warehouse & Distribution Manager, further development and management of the warehouse and logistics management systems, including but not limited to 
  • Mapping of the individual RR25 supply chain processes & workflows in WMS, incl. reverse logistics at the end of the event
  • Testing and implementation of individual forms and guidelines for deliveries/orders, stocktaking, etc. 
  • Collaboration with Venue Logistics to finalise the procurement plan for FF&E (Furniture, Fixtures & Equipment) and ensure adequate storage space is available for appropriate materials when required
  • Supporting and contributing to other areas of FA Logistics as required:
    • Contribution to the development of training materials and other documentation for Event Logistics staff on site during Games Time (VLM, Volunteer, Logistics providers.
    • Implementation of strategic plans to fulfil the RR2025 sustainability commitments and targets
    • Support in managing the interfaces between logistics systems and other existing tools
 
During operational Phase: 
  • From April relocation to the FA Logistics/Central Warehouse headquarters (location: Duisport, City of Duisburg): and set-up of the infrastructure in the Central Warehouse (together with the logistics service provider), including MHE (Material Handling Equipment)
  • Management of the central warehouse:
    • Management of day-to-day operations in the warehouse and management of the logistics service provider (LSP) team together with the Warehouse & Distribution Manager
    • On-site management of the LOG team, consisting of Volunteers and Games Time staff
    • Optimising the existing warehouse processes as required
  • Planning, management, control and administration of the receipt, storage, distribution and replenishment of RR25 items/equipment in the central warehouse with corresponding adjustment of delivery and distribution plans based on current requirements
    • Organising and monitoring the proper execution of inventories and stock checks in the central warehouse 
    • Regular preparation of reports and statistics (incoming/outgoing status report, dead stock report, etc.)
  • Active participation in the management of reverse logistics and liquidation of the individual logistics centres at the venues in all regions in cooperation with Venue Logistics 
    • Post Games inventory in the central warehouse
    • Support in the liquidation of stock in the central warehouse

Ideally you have the following skills and knowledge:

  • Completed studies and/or certifications in the fields of event management, sports management, logistics/supply chain management or comparable qualifications
  • Experience in the organisational planning and implementation of events of a similar size, ideally in the multisport sector
  • Professional experience in the operational logistics business, in the shipping/warehouse area, ideally in a (multi-)sporting event
  • Ability to quickly process information from spreadsheets and other tools
  • Very good organisational skills and experience in handling several tasks at the same time
  • Very good communication skills in German and English
  • Leadership skills and ability to work effectively in groups of people from other departments and at different levels of the matrix organisation with a diverse workforce, including Volunteers and temporary/contract workers
  • Hands-on mentality 
  • Profound user skills in MS Office, especially Excel
  • Experience with databases and ERP systems is an advantage
  • Class B driving licence, valid in Germany
  • Forklift licence an advantage
