Full-time / 40 hours per week / temporary contract until late summer 2025.
Specifically, your area of responsibility will focus on the following tasks:
- Programme planning and design: planning, supervision and implementation (organisation, implementation and follow-up) of (sub-)projects in the area of the event's supporting programme; creation and maintenance of festival programme schedules
- Programme coordination pre- & on-event: contacting, coordinating & supporting programme partners (associations, clubs, artists, exhibitors),
Planning of (partner) areas; management for one of the locations; crew planning (freelancers, volunteers) & support for the respective location; - Interface coordination & management: We are a small core team that works together with many contact partners from various internal departments
- Marketing and communication: Support in the creation of marketing materials and communication with festival visitors (website, app)
- Budget planning and control: helping to create and monitor the budget for programming and event organisation, including expenditure on artists' fees, technical equipment, staff and other resources
- Procurement & project organisation: preparation of tender documents, service specifications and price comparisons; creation of procurement notes; creation of documents (Word, Excel, presentations) for external use (Office 365); preparation and organisation of project meetings, briefings, presentations, documentation
Ideally you have the following skills and knowledge:
- Knowledge of event management: At least 2 years of professional experience in project management/ event management in the sports/ cultural and / or major event context
- Understanding and passion for major sporting events and events and a flair for sporting, cultural and / or socially relevant trends, as well as creative drive and a hands-on mentality
- Organisational skills: Good organisational skills, a structured way of working, quick thinking and the ability to multi-task and prioritise
- Communication skills: Strong communication skills in German and English (spoken & written) to interact effectively with internal teams, external service providers and artists
- Ability to work in a team: Friendly working style and enjoy teamwork
- Initiative and independence: The ability to work independently, take initiative and proactively find solutions to challenges that arise
- Flexibility and resilience: The ability to adapt to dynamic demands and independently manage time well.
- Other requirements: You have excellent MS Office skills (Word, Excel, Power Point, MS Teams), driving licence class B
